What this service handles
Every property has the same two hours. Eleven in the morning, when everybody checks out and nobody's flight is until evening, and two in the afternoon, when everybody arrives and nothing is ready. The bell closet absorbs both, and the guest experience of both is queuing.
VaultPac takes the bags off the property entirely. Collected, tagged, scanned into custody, held for as long as the gap runs, and delivered on a window that matches the guest's day: to the room when it is ready, to the airport timed to the flight, or to the next hotel.
For a property this is the strongest of the luggage propositions, because it converts a cost centre and a complaint source into a service the guest remembers well.

How VaultPac coordinates it
Every booking is a trip. A trip carries trip services, and each service breaks into the individual movements that actually have to happen — which is why the people and the bags do not have to travel the same way.

Luggage movement
Bags booked as their own movement, with their own route, their own timing and their own proof.
-
Secure storage between movements
Items can be held under custody between a pickup and a delivery, and released on a schedule rather than on arrival.
-
QR custody scan
Every bag carries a tag. Each change of hands is scanned, so custody is a record rather than a recollection.
-
Proof of pickup
Time, place and who released the item, captured at collection.
-
Proof of delivery
Time, place and who received the item, captured at delivery.
-
Oversized & special items
Golf bags, trade-show cases, strollers, production cases and similar items counted on the movement so the right vehicle is assigned.
-
Dispatch monitoring
Every movement on one board while it runs, so a late arrival is seen rather than reported.
-
Separate cargo vehicle
A dedicated vehicle for bags, cases or equipment running alongside the passenger vehicles rather than inside them.
-
Account billing
Charges belong to an account rather than to a single booking, so one programme can carry several contacts, cards and cost centres.
What runs this movement
Assignment reads the passenger count and the bag count, so the vehicle that arrives fits both. Larger movements run several.

Why VaultPac for this
- The bags leave the property instead of filling the closet.
- Custody is scanned, so a missing bag is a lookup rather than a search.
- Delivery is timed to the guest's day rather than to the check-out policy.
- Scales to a convention block without changing how it is run.
Questions
Who pays — the guest or the property?
Either. Some properties offer it as a guest-paid amenity and some absorb it on a property account. Both run on the same arrangement.
How quickly can bags come back if a guest changes plans?
The release is a movement, so a changed window is a change on the board. How quickly depends on the time of day and we will give you a real answer rather than a promise.
